Meet PapaKåta’s Senior Event Planner, Kate!

We interviewed our Senior Event Planner, Kate Wilson, to find out about her role and how she makes every PapaKåta event so special…

How long have you worked at PapaKåta?

I joined the Papa Team in August 2012 as a placement student for a 4 month project. I was then offered a full time position once I had graduated from Leeds Beckett University.

Can you describe your typical day?

There isn’t a typical day at PapaKata, but usually it consists of speaking to lots of lovely clients and working closely with our Team Leaders, who make the events that the clients and I have planned come to life. However, other days I might be out on site dressing the tents to add those little finishing touches for the events. That’s what makes it everyday so different and exciting.

Explain the Client Journey?

Once the client has booked with us they will be allocated a designated Events Planner, which will either be myself, Dannii or Becky. We then guide them through the most exciting process of planning their event. This ranges from designing your bespoke floor plan, coming to visit your site and going through every little detail to make sure it’s perfect. We will be with the client all the way through the journey, right up until the tent build day where we hand over to our fantastic Papa Crew who make everything possible.

How do you make your clients experience of Papa so smooth?

I understand that not many of my clients have never arranged a wedding or an event of this scale before, so know how important it is to hold their hand every step of the way. I’m always on hand for every little question, no matter how silly or insignificant my client thinks it is. We’ve also put in place systems and processes to make sure that no nasty surprises crop up and that we ask the right questions at the right time! Our team has also created lots of useful literature for our clients, like the Ultimate Papa Planner and the Ultimate PapaParty – we give these to everyone once they’ve booked so they can become their own party planner too! We want the journey of planning your event to be as enjoyable and as memorable as the event itself.

What makes Papa stand apart from other tent providers?

Celebrating our 10th Birthday this year means that we have a bible’s worth of stories and knowledge about our tents and events. There’s no challenge we’re not willing to take on, from teepees on a rooftop to a Sperry tent for Kings of Leon. From every aspect of the PapaKåta team we make your event stress free and ‘wedmin’ fun!

How do you stay at the forefront of event design?

From travelling the length and width of the UK weekly, we’re always looking out for the next big thing on the event design scene. Personally, I am always on sites such as pinterest, instagram and wedding blogs looking for inspiration and trends for the coming years. We’re also very active on social media ourselves, where we love to speak to suppliers and clients on their preferences, as well as sharing our own new ideas.

What are your favourite pieces from the Papa finishing touches at the moment?

Anyone who works with me will know that finishing touches are my pride and joy. Personally, my favourite piece has to be the brand new wooden cartwheels, topped off with the gorgeous festoon lighting. Having debuted them at the Open Weekend I think a lot of clients would agree with me that they make the teepees and Sperrys even more magical.

What is your Best PapaKåta memory?

I would have to say  managing my first PapaKåta Open Weekend and the feeling of driving up to the tents on Saturday morning knowing that the build was now complete and the tents were looking incredible. It was even better once the clients started arriving as seeing the looks on their face makes it even more special.

Why do you love working at PapaKåta?

I can honestly say that I laugh everyday; the team are like a family. We all have the shared vision of creating the most amazing memories for our clients and this common goal keeps us together. We have loads of nights out together too and believe that a family that plays together, stays together!
